Responsibilities:

Receptionist and public facing representative at the AFWERX Hub in Austin, Texas. Collect and maintain customer contact database and hub inventory.
Maintain a daily presence at Austin Capital Factory, 701 Brazos St, Austin, TX 78701. This job is NOT a teleworking position.
Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
Manage Customer Relationship Management (CRM) systems, including support for Customer Retention and transition into Salesforce.
Prepare and run presentations for division meetings, AFWERX all-calls, and other meetings and take detailed notes. Obtain presentation materials from division leadership and integrate these into a cohesive briefing.
Manage AFWERX hub visits and space requests. Follow up on action items coming from meetings/visits.
Coordinate with Capital Factory staff and AFWERX engagements/marketing teams on events, facilities, conference rooms, AFWERX memberships/parking, and IT equipment.
Manage task trackers and requirements from higher headquarters and other Air Force agencies.
Manage Spark Division and other leadership calendars and coordinate with AFWERX Strategic calendars and other Exec Admins.
Help schedule, set up, and run online seminars for thousands of DoD and industry personnel. Monitor and moderate online chat during these seminars.
Work with division leads to prepare for interview days by contacting and scheduling candidates, organizing interview questions, and taking detailed notes during the interviews.

Prepare and run presentations for division meetings, AFWERX all-calls, and other meetings. Obtain presentation materials from division leadership and integrate these into a cohesive briefing. Take notes during these meeting. Follow up on action items coming from these meetings.
Track military and civil service appraisals and personnel records.
Develop and maintain master rosters of the organization.
Create and maintain shared online files for important documentation.
Handle security clearances and visit requests via the Joint Personnel Adjudication System (JPAS).
In-process and out-process military, civil service, and contractor support personnel.
Intake visit requests and schedule meetings and seminars
Coordinate event/visit meeting spaces and preparations for AFWERX events at large

Qualifications:

U.S. Citizenship is required.
Secret Clearance is preferred. People with no security clearance will be considered.
3+ years of experience is desired.
Demonstrated experience in administrative and personnel processes.
Administrative experience in DoD offices is highly desired.
Analytical and communication abilities (both written and verbal).
Excellent computer skills, including the Google Suites (Doc, Sheets, Drive and Slides) & Microsoft Office Suite (Word, PowerPoint, and Excel)
Excellent organization and time-management skills
Thrives in a fast-paced environment
