Duties and Responsibilities (to include but not be limited to the following):  Serve as Executive Assistant (EA) for the U.S. Army Rapid Capabilities and Critical Technologies Office (RCCTO) Directed Energies Program Office (DEPO) on Redstone Arsenal, Huntsville, AL. Candidate will report directly to the DEPO Director and be responsive to the directors’ requirements. The candidate shall support executive assistant activities and support the entire Directed Energies Team as needed.  This is not a telework job unless by special exception.

  • Ensure that Director and Deputy Director calendars up to date, to include weekly calendar scrubs involving going through every meeting for the next 3-4 weeks and adjusting for conflicts, ensuring that the Director and Deputy Director are aware of meetings and changes as they occur.
  • Interact with the RCCTO Front Office (SES\GO) to coordinate meetings on behalf of the DEPO Director and Deputy Director.
  • Schedule all Microsoft Teams meetings for the entire DEPO team and send links to the requestors for their meetings.
  • Manage the distribution for the monthly PMR invites each month; prior to the meeting adding and deleting attendees and updating with meeting sheet.
  • Interact with Industry Partners on behalf of DEPO, including setting up meetings and office calls for visits to\from DEPO.
  • Coordinate requests to Security for visit requests and base access for visitors as well as insuring DEPO Leadership has visit requests in place for scheduled travels.
  • Schedule conference rooms as needed and telecon numbers.
  • Schedule all of Director’s and Deputy Director’s travel in DTS and process their travel vouchers and prepare their travel packets.
  • Review all authorizations and vouchers prior to Director’s approval, to include tracking the cost of the travel on a travel funding spreadsheet and contacting travelers to make corrections or changes on their vouchers or authorizations.


Required Skills:

  • Strong working knowledge of DTS and JTR travel guidelines to include scheduling and processing of all of travel in DTS.
  • Ability to multi-task and communicate with senior leadership and program managers.
  • Ability to be flexible and accommodating in an extremely high OPS tempo and dynamic environment.
  • Experience providing direct support to Project Office Director, Deputy Director, and other senior leaders
  • Capable of working independently or leading teams in the solving of problems.
  • Experience actively managing senior leadership calendars, appointments, meetings, and daily activities.
  • Expertise in tracking travel costs for project office leadership.
  • Expertise in managing project office distribution lists and information sharing tools.
  • Superior proficiency in MS Office suite and IT tools.
  • Outstanding written and oral communication skills are required.
  • Bachelor’s Degree required.

Required Experience:

  • 10+ years of experience in Department of Defense (DoD) acquisition programs.
  • Bachelor’s degree required or 15+ years’ experience in lieu of degree.
  • Experience supporting DoD SES/General Officer staff and operating at a Command Headquarters.

Desired Qualifications:

  • Master’s degree preferred.
  • Experience with expedited/rapid acquisition efforts.
  • Experience in one or more Army program offices.


  • Current Secret Security Clearance required. TS and SCI eligibility is preferred.
  • United States Citizenship required for this position.
